WhatsApp condo group: rules and tools for the building manager

Notices everyone reads, quiet hours at night and arguments cooled in time: how to run a condo group on WhatsApp without becoming a mediator around the clock.

A condo group on WhatsApp solves a lot: construction notices, messages from the front desk, questions about trash pickup. It is also where the fight about parking spots, noisy neighbors and the resident who answers everyone at 11:50 p.m. begins.

This guide is for building managers, management companies and residents who ended up in charge of the group. We will cover rules, quiet hours, official notices and a way to keep the answers people ask for every week.

Agree on house rules

Three short rules change the mood of the group. First: no personal arguments, a problem with one specific neighbor is solved privately or with the management office. Second: no selling or promoting outside the agreed channel, whether that is a pinned message for classifieds or a separate group. Third: respect always, including toward staff.

Write the rules in one message, present them at the meeting or on the elevator notice, and use Pin message in the group. When someone slips, you do not have to improvise: just point to the rule everyone has already seen.

Close the group at night

Many arguments happen at night, when tiredness helps and nobody from management is watching. In WhatsApp, the path is Group settings, Send messages, Only admins, and then the same steps again to reopen in the morning. It works, but you have to remember twice a day.

With Becca (who needs to be a group admin), you set it once: !fechargphora 22:00 and !abrirgphora 07:00. The group closes and opens on its own every day, and admins can still write, which is useful for an urgent notice in the middle of the night, like a leak or a stuck elevator.

Official notices and fixed information

Almost every resident keeps the group on silent, and that is how the important notice gets missed. For anything official, an admin uses !hidetag: it calls everyone without dumping a long line of @ names, and the message stays readable. Keep it for water shutoffs, meetings and elevator maintenance.

In practice
๐Ÿ“ข Notice from management: water supply will be shut off tomorrow, from 9 a.m. to 12 p.m., for water tank cleaning. Please store water for that period. Questions go to the front desk.

For questions that keep coming back, use group notes: !anotar Useful phone numbers | Front desk, maintenance, building manager and management company saves the list, and !anotar Bylaws | moving hours, party room use and quiet hours keeps a summary of what causes the most doubts. Notes are an admin tool: when someone asks, an admin sends !nota, picks the number from the list and Becca posts the text in the group (!notas only shows the titles). The full bylaws remain the official document of the condo: the note is a quick reference summary.

Poll residents before the meeting

Before scheduling the owners meeting, it helps to know what people think. In WhatsApp, the poll is under the attachment clip. With Becca, an admin creates it directly with !enquete Which day works best for the meeting? | Saturday morning | Tuesday evening | Thursday evening, and !enquetem does the same while mentioning everyone.

Keep in mind that a poll in the group does not replace the formal vote. It shows the trend and helps choose a date and prepare the agenda, but the decision that counts follows what the condo bylaws and the meeting itself determine. Write that in the poll question so nobody treats the result as official minutes.

Cool down arguments before they grow

Two tools help when a conversation heats up. Once it is on, !antiflood acts when someone sends 5 messages in about 2 seconds, the classic irritated resident replying in bursts. And !mutar @resident makes Becca delete every message from that person until you release them with !unmute, since WhatsApp has no way to silence just one member. To delete messages, Becca needs to be a group admin.

Use judgment: muting is a pause so everyone can breathe, not a punishment. Tell the person privately, explain why and release them as soon as things calm down. If repeat behavior becomes routine, !advertir keeps a record, and on the third warning the removal is automatic.

Welcome residents and close the door

Everyone who joins should know where they are. With !bemvindo on and !legendabv set, Becca greets the newcomer by mentioning their number and naming the group with the #nomedogp# tag, and you can remind them of the pinned rules in the same message. In WhatsApp, Approve new members helps the manager check that whoever asked to join really lives in the building.

And the former resident who keeps coming back through the link? Resetting the link under Invite via link already cuts off the old access. For those who insist, !addlistanegra @person makes Becca remove the person right away if they return to the group. Agree on the procedure with management, because removing a resident or former resident is a decision that needs judgment.

Tip: Before you turn on any protection or mute someone, tell the group what the rules are. A rule announced in advance becomes an agreement; a surprise rule becomes an argument.

Next step

Write the three rules, pick the quiet hours and pin everything in the group this week. If you want the nightly closing, the notices and the notes to work without depending on you, add Becca to the group: R$ 15 per group per month, no lock-in, paid by Pix or card.
